PALMETTO MIDDLE SCHOOL PTSA EXECUTIVE COMMITTEE

PTSA PRESIDENT serves as chair of the Executive Committee and the Board, oversees all PTSA operations and the PTSA budget, represents the Palmetto Middle School PTSA in all matters with the local PTSA, school and county administrators, presides at all meetings of the association and coordinates the work of the elected. The President assumes duties upon the completion of the PTSA meeting election in May. Requires a consistent, high level of involvement throughout the year, including summer months.
1ST VP – ORGANIZATION acts as an aide to the President and performs the duties of the President in his/her absence. Plans and directs Membership drive and Legislative efforts with committee chairs (who also reside on the PTSA Board). In addition, 1st VP recruits and supports committee chairs for PTSA Bulletin Board, Copy Room, PTSA Link, Hospitality, Lancer Letter, PTSA Awards, PR, Student Recognition, School Projects, Teacher Appreciation and Volunteer Coordination. The 1st VP assumes duties upon the completion of the PTSA meeting election in May. Requires a high level of involvement throughout the year, including summer months.
2nd VP - EDUCATION acts as an aide to the President and performs the duties of the President in the absence of the President and 1st VP. Plans programs for parents, students and teachers. Recruits and supports committee chairs for Reflections, School Beautification, Career Day, Red Ribbon Week, Student Listeners, Media Center / Reading Programs and Spirit Week. Once chairpersons are appointed, the 2nd VP provides the support and leadership of these functions. The 2nd VP assumes duties upon the completion of the PTSA meeting election in May. Requires a high level of involvement throughout the year, including summer months.
3rd VP – WAYS & MEANS acts as an aide to the President and performs the duties of the President in the absence of the President and 1st and 2nd VPs. Recruits and supports committee chairs for fall and spring service & fundraising events such as Book Fair, Required Reading Book Sale, Box Tops. Donation Program, Pizza Sales, School Store, School Directory, Taste of Pinecrest, Spirit Shirt Sales. The 3rd VP continues to monitor success of fundraisers in order to recommend changes to fundraising objectives and strategies at Palmetto Middle School and assumes duties upon the completion of the PTSA meeting election in May . Requires a high level of involvement throughout the year, including summer months.
PTSA Treasurer is responsible for the planning, monitoring and execution of all PTSA financial functions. The treasurer has custody of all funds, makes disbursements, remits dues, and prepares a written financial statement comparing expenditures and budget for every meeting. Tracks & categorizes incoming/outgoing money while keeping receipts and records of the PTSA finances. Duties include balancing bank statements and preparing reports. Also prepares an annual financial report at the close of the fiscal year. Attends all PTSA Board and General Membership meetings; leads the budgeting process working directly with the PTSA Board; presents the budget to the budget committee and PTSA Board for approval, then presents the budget to the membership; Keeps accurate and detailed records at all times; Receive, issue receipts, and deposit promptly in an authorized account all monies and disburse same according to the approved yearly budget and authorized limits; Follow up on, and to resolution, all bank errors, billing errors, Non-Sufficient Funds (NSF) checks and other financial errors as they occur; Provide a budget to actual report each month to the executive committee and at all Board of Directors meetings. The treasurer assumes duties upon the completion of the audit from the previous year. Requires a moderate level of involvement throughout the school year, and particularly when collecting dues and preparing annual budgets.
PTSA Recording Secretary attends all meetings of the PTSA to record the minutes, records all documents and communications issued by the PTSA, helps the President to prepare meeting agendas, prepares information for newsletters and the PTSA website; Keeps an official copy of the PTSA by-laws, maintains all office records of the PTSA, and maintains a membership list. The secretary assumes duties upon the completion of the PTSA meeting election in May or June. Requires a moderate level of involvement throughout the school year.
PTSA Corresponding Secretary - Receive and review all correspondence received by the association; Read all correspondence received at PTSA meetings; Notify officers, committee members, and delegates of their election or appointment; Send out cards, thank you letters, etc.; Write any other letters as agreed with the President or the PTSA Board; Keep a file of all correspondence. Requires a moderate level of involvement throughout the school year.
ParliamentarianAppointed by the President; attends all meetings of the PTSA Board and Membership; gives advice in parliamentarian procedure when requested; updates Bylaws as needed; other duties as outlined in PTSA Toolkit and Bylaws.
PALMETTO MIDDLE SCHOOL PTSA EXECUTIVE COMMITTEE

Membership - Recruit members from the Palmetto Middle School families, community, faculty and staff. This includes putting together a flyer for back to school packets in August and collecting registrations at the beginning of school, Open House with follow up as needed throughout the year. Manages registration dues and membership records and coordinates registration with the National and State PTSAs. Coordination of this program can be done from home. Responsible for coordinating all the clerical duties associated with soliciting PTSA membership. Prepares envelopes for back to school packet and orders dues envelopes, un-stuffs membership envelopes and maintains a list of members. Works with treasurer to deposit membership dues and contributions that accompany them, keeping accurate records. Requires a high level of involvement at the beginning of the school year followed by a moderate level of work through the remainder of the year. Membership chair person is a part of the Executive Committee / Board at Palmetto Middle School and expected to attend all PTSA Board and General meetings.
Volunteer Coordinator - This position will act as a liaison between the volunteering parents, Palmetto Middle School administration and the PMS PTSA Board to identify qualified, registered parents to assist in various PTSA and school initiatives in support of the students. Requires a high level of involvement throughout the school. Volunteer Coordinator chair person is a part of the Executive Committee / Board at Palmetto Middle School and expected to attend all PTSA Board and General meetings.
Legislative - This position will understand what is happening on the legislative front and advice parents, Palmetto Middle School administration and the PMS PTSA Board of various initiatives. Requires a high level of involvement throughout the school. Legislative chair person is a part of the Executive Committee / Board at Palmetto Middle School and expected to attend all PTSA Board and General meetings. |
